Information we collect

Depending on your interaction with us, we collect the following information:

  • Contact and business details: names, company names, job titles, email addresses, telephone numbers, business addresses and billing or delivery details.
  • Enquiry and rental details: equipment requirements, production information, rental dates, quotations, bookings and correspondence.
  • Customer registration information: business and account details, authorised contacts and information supplied in your application.
  • Payment-authorisation information: cardholder name, the last four digits of the card number, expiry date, authorisation details, printed name, signature and date.
  • Credit application information: business details, trade references, signatures and other information supplied to support an application for credit terms.
  • Marketing information: subscription details, communication preferences, unsubscribe requests and interactions with marketing emails.

Full payment-card details are collected separately through the secure payment link we provide. Please do not send full card numbers or card security codes through our contact forms or ordinary email.

Our website infrastructure may also collect technical information such as IP addresses, browser and device details, requested pages, timestamps and security logs.

If you provide another person’s information, such as a trade reference or accounts contact, please ensure you are entitled to provide it and make this policy available to them.

3.

How we use information

We use personal information to:

  • Respond to enquiries and provide advice, availability and quotations.
  • Process customer registrations and assess credit applications.
  • Contact trade references and verify application information.
  • Arrange and administer rentals, deliveries, collections, deposits and payments.
  • Record authorisations and maintain customer accounts.
  • Send application confirmations, invoices and service communications.
  • Send relevant equipment news, availability, offers and business updates where permitted.
  • Operate, maintain and protect our website and business systems.
  • Prevent fraud, resolve disputes, enforce agreements and meet legal obligations.

If information needed to process an application or provide a service is not supplied, we may be unable to proceed.

4.

Forms, application records and payments

Information submitted through our website forms is received by our team and processed using customer relationship management, booking, marketing, document-management and related business software.

When you submit a customer registration or credit application, a PDF record containing the information and signature submitted is emailed to you and our team. Registration records include the limited card information described above. Full card numbers and card security codes are collected separately through the secure payment process.

Please use an email address you are authorised to access and take appropriate care when storing or forwarding your application record.

5.

Marketing communications

Our marketing contacts include newsletter subscribers, existing TV Lens Pro customers and people who submit website forms.

When you submit a form, we may add your contact details to our marketing database and send relevant news, equipment updates, availability and offers, subject to applicable law and your preferences. Where separate consent is required, submitting a form does not replace that requirement.

We may also receive business contact information from TV Lens Pro for these purposes.

You can stop marketing emails at any time using the unsubscribe link in an email or by contacting [email protected]. We retain a limited record of opt-outs to help ensure your preferences are respected. Submitting another enquiry or application does not override a previous unsubscribe request.

Marketing emails may use tracking technologies to record whether an email is opened and which links are clicked. We use this information to assess and improve our communications. You can limit some tracking by blocking remote images in your email software, although this may not prevent all tracking.

Unsubscribing from marketing does not stop necessary communications about your application, rental, payment or account.

6.

Cookies and website information

As of the effective date, Google Analytics and advertising pixels are not enabled on our website.

Our website and supporting infrastructure may use cookies or similar technologies needed to deliver forms, maintain functionality and protect against misuse. Hosting and security providers may process technical information to deliver and safeguard the website.

We do not currently use website technologies to track your browsing across unrelated websites for advertising purposes. Browser “Do Not Track” signals therefore do not alter any such advertising tracking on our behalf.

You can manage or block cookies through your browser settings. Blocking essential technologies may affect website functionality.

If we introduce Google Analytics or other tracking technologies, we will update this policy and provide any notices or choices required by applicable law.

7.

Who receives information

We disclose relevant personal information to:

  • Authorised staff and support providers, including Pink Unicorn, for website maintenance, administration and marketing support.
  • Business software and infrastructure providers supporting hosting, customer management, bookings, communications, document processing and related operations.
  • Payment providers, trade references and verification providers, where needed to process payments or assess an application.
  • Equipment and logistics partners, where needed to fulfil a rental, delivery or collection.
  • Professional advisers, including accountants, insurers and lawyers.
  • Authorities or other parties, where required by law or reasonably necessary to investigate fraud, protect rights or resolve legal matters.
  • Parties involved in a business transfer, such as a merger or acquisition, subject to applicable protections.

We also share relevant business contact details with TV Lens Pro for its own marketing of related products and services, subject to applicable law and your preferences. This marketing sharing does not require disclosure of your payment details, signatures or credit application records.

To request that we stop sharing your contact details with TV Lens Pro for marketing, email [email protected]. You may also unsubscribe directly from marketing emails sent by TV Lens Pro.

8.

How long we keep information

We retain personal information while it remains reasonably necessary for the purposes described in this policy.

When determining retention periods, we consider:

  • Whether an enquiry, application, rental or customer relationship remains active.
  • The information needed to administer payments, credit terms and ongoing authorisations.
  • Accounting, tax, insurance and other recordkeeping obligations.
  • Applicable periods for bringing or defending legal claims.
  • Unresolved payments, complaints, investigations or disputes.
  • Marketing permissions and communication preferences.

Application records, signatures, authorisations and transaction records may therefore be retained after an account or rental ends where needed for these purposes.

We retain marketing information while its use remains lawful and relevant, and limited suppression records for as long as needed to respect opt-outs.

When information is no longer needed, we delete it, securely dispose of it or de-identify it. Residual backup copies are removed through normal backup cycles and are not used for routine business activities.

9.

Security and international processing

We use reasonable administrative, technical and organisational measures designed to protect personal information. No website, email service or storage system can be guaranteed completely secure.

We are based in the United States. Our service providers and authorised support teams, including support in the United Kingdom, may process information in other countries. Those countries may have different privacy laws. Where applicable law requires safeguards for international processing, those requirements apply.

10.

Your choices and privacy requests

You can contact us to ask about your personal information, request corrections, change marketing preferences or request deletion.

Depending on your location and applicable law, you may also have rights to access or obtain a copy of information, withdraw consent, object to certain uses or disclosures, or appeal a decision about a privacy request. These rights are subject to applicable conditions and exceptions.

Email [email protected] with the subject “Privacy request”. Please describe your request and provide enough information for us to locate the relevant records. We may need to verify your identity or an authorised representative’s authority.

We will respond within applicable legal time limits. Where we cannot fulfil a request, we will explain the relevant reason. We will not unlawfully discriminate against you for exercising privacy rights.

11.

Children

Our website and professional rental services are not directed to children under 13. We do not knowingly collect their personal information. If you believe a child has provided personal information to us, please contact us.

12.

Changes and contact details

We may update this policy to reflect changes to our services, practices or legal requirements. The effective date identifies the current version. We will provide additional notice of material changes where required by law.
